Our policy covers how we collect and use your data in relation to your holiday booking with us, through the use of our website. It also covers any personal information you provide via telephone, in written communications (both letter and email), by text message and in person.

For the purpose of data collection, Duchy Holidays is the data controller.

What information does Duchy Holidays collect?

We collect information from you when you make a booking enquiry, book a holiday, subscribe to our newsletter or fill out a form (such as a brochure request or competition entry).

When making a booking or registering on our site you may be asked, as appropriate, to enter your name, e-mail address, mailing address, phone number and credit card information. You may, however, visit our site anonymously.

Identity data. Your personal details and the details of your holiday party including full names, dates of birth and age, gender, marital status.

Contact data. Including your address, email address and telephone numbers.

Financial data. Including bank account and/or payment card details.

Transaction data. Details regarding payments and products/services you have purchased.

Technical data. Including your IP address, log in data, browser data, operating systems and platforms, and other technology relating to your access of our website and booking.

Profile data. Your username and password, website preferences, reviews, feedback and survey data.

Usage data. Information regarding how you use our website and online products and services.

Marketing data. Including your preferences, settings and account details relating to your communication from us.

Offline information (information given in person) is processed and stored as per this policy – data is not shared and is retained in a secure office, accessed by authorised staff only. 

What does Duchy Holidays use my information for?        

Any of the information we collect from you may be used in one of the following ways: 

To undertake the contract relating to your holiday booking. Without your personal details we are unable to confirm a holiday booking.

To process transactions and take payments for your holiday booking.

To personalise your experience. Your information helps us to better respond to your individual needs and provide relevant content, advertisements and recommendations.

To use data analytics to improve our website. We continually strive to improve our website offerings based on the information and feedback we receive from you.

To send periodic emails. The email address you provide for your booking may be used to send you information, respond to enquiries, and/or other requests or questions.

The email address submitted to our newsletter sign-up will be used to send our regular brand newsletter and legitimate holiday information.

All email communications are sent in line with GDPR, within the categories of consent (for newsletter), contract (for bookings) and legitimate interest (for other relevant communications such as competitions, offers and updates).

What happens if I don’t want to share my data?

Where we are required to collect data (for contractual and transactional purposes), under the terms of our booking conditions, if you fail to provide the required data we would not be able to confirm your holiday booking.

Does Duchy Holidays work with third parties?

Your information, whether public or private, will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever, without your consent, other than for the express purpose of delivering the purchased product or service requested.

Those parties include IT provider, email providers, online payment provider, bank and financial provider, accountants and legal representatives.

We do not sell, trade, or otherwise transfer your data. However, non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.

We may release your information when we believe appropriate to comply with the law, enforce our site policies, or protect ours or others rights, property, or safety.

Third parties may provide us with private data, whereby the individual has given consent (for example, in signing up to an online competition) and the law allows them to do so explicitly.

Occasionally, at our discretion, we may include or offer third party products or services on our website. These third party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these sites.

How does Duchy Holidays protect my information?

We implement a variety of security measures to maintain the safety of your personal information when you place an order or enter, submit, or access your personal information.  

We offer the use of a secure server. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology and then encrypted into our Payment gateway provider’s database only to be accessible by those authorised with special access rights to such systems and who are required to keep the information confidential.

After a transaction, your private information (credit cards, social security numbers, financials, etc.) will not be stored on our servers. Transaction data is securely encrypted and held by our online payment provider.

How does Duchy Holidays use cookies?

Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow) that enables the sites or service providers systems to recognize your browser and capture and remember certain information.

We use cookies to help us remember and process your holiday booking, understand and save your preferences for future visits and compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future.

If you prefer you can choose to turn off all cookies via your browser settings or by choosing ‘no’ on our cookie statement. Like most websites, if you turn your cookies off, some of our services may not function properly. However, you can still place orders over the telephone on 01872 572971.

How long does Duchy Holidays keep data?

Data will be stored on secure servers (digital) and in secure storage, with limited accessibility (manual) for a period of ten years.

Can I make changes to my data?

Yes, we will change your data, upon written request, clearly specifying the information which requires a correction or update.

Does Duchy Holidays change the policy?

We regularly review our privacy policy, and any changes will be posted on this page.

Can I access my data?

Your data is subject to Data Protection Laws and is available for review by yourself, upon written request.

Under the regulations your rights are: to be informed, to have access to the data we hold about you, to be able to update your data, to remove your data, to restrict the processing of your data and the right to obtain and reuse your data. You have the right to object to the processing of your data for marketing or profiling. Please note we do not operate any automatic profiling systems.
